How to choose DeCA software for your operation

Compare monthly volume, who prepares the document and how the driver receives it. Before subscribing, try a typical transport, share the PDF and check what happens when you change a field.

What compliant DeCA software must do

• Generate a native digital PDF from structured data: no scans or images, with a maximum size of 5 MB.
• Embed a QR code in the PDF with a web address unique to that document.
• Serve that URL over HTTPS with TLS 1.2 or higher, allowing inspection officers to download the PDF directly for the whole service.
• Allow the document to be created before the service effectively starts, recording the date and time of creation and of every modification.
• Handle modifications with traceability: mark previous data as invalid in the same PDF, or generate a new PDF while preserving the original.
• Keep the generated files for at least one year.
• Capture all the Article 6 data of Orden FOM/2861/2012: shipper, carrier, origin, destination, goods, date and vehicle plates.

Sharing with the driver

Yes. After generating a document, the WhatsApp button opens a message with its link. You choose the recipient and confirm sending. This is not automatic delivery.

Share the document with the driver electronically or print it with the QR code: both options are valid, because what the regulation requires is that the generation be digital.

History and retention

All documents remain in your history, covering the minimum one-year retention required by the resolution.

Traceable modifications

If the vehicle or any other data changes during the service, DeCAya records the date and time of the change and keeps the original version, exactly as the regulation requires.

Multi-company and API

Agencies and groups can manage several companies from a single account, and the API lets you integrate DeCA generation with your ERP or TMS.

Driver access and current availability

The driver signs in through a mobile browser with their phone number and a four-digit PIN, without email or a password. They see their usual routes and the DeCAs they created. They can add the app to the home screen without an app store. A connection is required to access documents.

The app needs a connection to access documents and create or update a DeCA. You can download the PDF before a trip and save it on your device. DeCAya does not yet sync documents for offline access; opening the QR link requires a connection.

Not yet: reading a PDF or transport order with AI is not available. What you can import from Excel or CSV is your companies, vehicles and drivers (Owner-driver, Company and Agency plans). Each DeCA is created with the form, by duplicating an earlier one or from a template, and the API is available on the Company and Agency plans.

An API lets you build an integration; it does not mean a ready-made connector exists for every ERP.
